What it is
The Tags system helps account admins manage fleet access. It enables permission sets for different vehicle groups, making it simple to invite users and control access. This improves fleet management by enabling enhanced filtering, searching, and reporting—especially for organizations with multiple divisions, locations, or vehicle types.
With Tags user permissions, you can assign access at a more granular level, ensuring users see only the data relevant to them. You can also grant access to multiple vehicles with a single invite and make permission updates quickly. Additionally, Tags can be used for sorting and locating specific groupings in various sections of the Raven Web App.
How it works
What is a Tag?
Tags are custom labels that help you manage user access and filter Ravens (vehicles). You can create as many Tags as needed to organize your fleet effectively.
- Parent Tag: Tags can have a Parent Tag, inheriting users and permissions from it.
- User Access: Users in a Tag are granted access to all Ravens within that Tag and its Sub Tags.
- Sub Tags: A Sub Tag is a subset of vehicles. However, users with access to a Sub Tag do not automatically get access to its Parent Tag or sibling Sub Tags.
- Raven Assignment: A Raven can be assigned to any Sub Tag as long as it’s already assigned to the Parent Tag.
Tag Categories
Categories are predefined Tag types used for filtering and organization. While they provide an icon and default color, they do not affect Tag behavior.
Note: The category of the 'All Tag' cannot be changed.
What is the All Tag?
The All Tag is automatically created when you set up your Raven account and serves a key role in the permissions system.
- All newly added Ravens are automatically assigned to the All Tag.
- The All Tag is the Parent Tag for all other Tags, allowing permissions to be granted across all Ravens in the system, including new ones.
- It ensures compatibility with the existing permissions system.
- The account owner is automatically assigned as the Admin of the All Tag.
- You can rename the All Tag, but it will always remain the highest-level Tag in your account.
- It also defines access to other system areas as new permissions are introduced.
- The All Tag cannot be deleted.
User access levels

Admin menu overview
The admin menu offers access to tag configuration views and personal web app settings. Here is a brief overview of what each sub menu item provides.
Ravens
View all Ravens you have access to, along with their associated tags. Manage them by adding or removing them from any sub-tag within your administered tags.
Users
View all users associated with the same Tags. Tag Admins can update, invite, or remove users.
Toggle 'Show Pending Users' to display invited users who haven’t accepted their invitation. Pending users include all users invited to accessible Tags, not just those invited by the active user. Pending users can also be deleted.
Tags
View all Tags you administer, along with their assigned users and vehicles. Manage Tags by adding vehicles and existing users, adjusting role permissions, changing categories, and creating sub-tags.
Profile
Owners and Admins can adjust user-level Web App-based settings and access billing and payment history from their Profile.
Example use cases and configuration
Scenario 1:
I have two vehicles, and only my office manager and I need access to all Ravens. In this case, there’s no need for extensive use of Tags. The automatically created “All” Tag will suffice. If any new vehicles are added to the system, both of us will automatically have access to them without needing any additional configuration.
Scenario 2:
I have 10 vehicles, and two supervisors are responsible for overseeing different vehicles. As the account owner, I don’t want anyone else adjusting settings and I only want the supervisor responsible for their half of the vehicles to be visible to them. They should have access to trip data and reports. The Tags structure for this use case could look like this:
- All Tag Admin: Only me (the account owner)

Create Subtag Group 1:
- Supervisor 1: Admin
- Vehicles assigned to Supervisor 1

Create Subtag Group 2:
- Supervisor 2: Admin
- Vehicles assigned to Supervisor 2
How to use it
Create a Tag
- From the Admin panel, select Tags from the dropdown menu.
- Click the ‘+ ADD TAG’ button located in the top right corner.
- Enter a Name for the new Tag.
- Select a Category and choose a Color to help distinguish the new Tag from existing ones.
- Select a Parent Tag for the new Tag. By default, the Parent Tag will be set to the highest-level Tag you have access to, which may be the 'All Tag'.
- Choose the Ravens and Users to assign to the Tag.
- Assign each user either an Admin or Viewer role.
- Click ‘Save’ to finalize the new Tag.
- Alternatively you can create a Tag by expanding the Tags drop-down, hover over a specific Tag to expose “+ ADD SUBTAG”, click and repeat the previous listed steps.
Edit or delete a Tag
To Edit a Tag
- Select the pencil
icon beside the Tag you want to edit.
- You can adjust any of the Tag Settings, such as:
- Changing the Name, Category, or Color.
- Removing Ravens or Users.
- Adjusting the role level permissions for any assigned users.
- Note: While the category of the 'All Tag' cannot be changed, you can edit other information, such as the Name and Color.
To Delete a Tag
- Click the garbage can icon to the right of the Tag you want to delete.
- A confirmation popup will appear, asking if you want to delete the Tag.
- Select OK to proceed.
Note: Deleting a Tag where a user is only assigned to that Tag will also remove their access to all Ravens in that Tag.
Invite a user to your account
- From the Raven Web App, select Users from the Admin dropdown.
- Click the ‘INVITE USER’ button in the top right corner.
- Enter the user's email, set their role permissions level, and select any Tags you want them to be able to view.
- Click ‘INVITE’ to send the invitation.
The user will receive an email inviting them to the Raven platform, where they can create their login.
Note: A user can only be invited to one Tag initially. Once the user accepts the invitation, they can be added to additional Tags as needed, just like any other user.
Remove a user from a Tag or delete a user
To remove a user from a Tag
- From the Raven Web App, select Users from the Admin dropdown.
- Select the pencil icon
next to the user's name.
- In the popup, go to the ‘Assigned Tags’ column.
- Click the ‘X’ to the left of the Tag you want to remove the user from.
- A confirmation popup will appear. Select OK to proceed.
Or
- From the Raven Web App, select Tags from the Admin dropdown.
- Select the pencil icon
next to the Tag.
- In the popup, go to the ‘Users’ column.
- Deselect the tick-box next to the user you're removing.
- A confirmation popup will appear. Select OK to proceed.
To remove a user from an account
- From the Raven Web App, select Users from the Admin dropdown.

next to the user's name.
- Deselect all tick-boxes from either the “Assigned Tags” or “Available Tags” column
- A warning on the final Tag will notify you that this is the user’s final Tag, performing this action will remove them from your account. Select OK to proceed.
- Once all Tags are removed, the user will lose access to any Ravens in your account.
Update Tag assignments for Raven devices
- From the Raven Web App, select Ravens from the Admin dropdown.
- Click the pencil icon
next to the Raven you want to update.
- A popup will appear displaying a list of Available Tags and Assigned Tags.
- To add the Raven to a Tag, select the checkbox next to the Tag in the Available Tags list.
- To remove the Raven from a Tag, uncheck the box or click the ‘X’ next to the Tag name in the Assigned Tags column. A confirmation popup will appear to confirm the removal.
Alternatively, you can update Tag assignments for a specific Raven via the Vehicles tab:
- Select a vehicle from the map.
- In the vehicle details panel, click the ‘...’ (ellipsis) button at the bottom.
- From there, you can make the necessary adjustments to the Tag assignments.
How to Filter and View Tags in Action
Vehicles Tab
- From the Vehicle pop-out, you can filter to display a specific Tag on the map and in the list.
- Click the ‘+’ button to view all Tags or categories, then select the Tag you want to filter by.
- You can also toggle the view to display Tags rather than status. This will show the category/categories of Tags assigned to each Raven.
- When you select a vehicle from the map or list, the Vehicle Details Panel will display the Tags assigned to that Raven.
Event Review
- Expand the Vehicle filter to search by Tag and view relevant data.
Reporting
- In each of the Reports, you can filter by Tag to review the performance of a specific vehicle grouping.
